How 411 collects, uses and protects personal information.

Who is responsible for your information

KACED DIGITAL LTD is the controller of personal information used to provide 411 Field Management. Our registered company number is 17366002 and our registered office is Stortford Grange, Jenkins Lane, Bishop’s Stortford, England, CM22 7QL.

Information we process

  • Account identity, contact details, sign-in information and workspace role.
  • Business profile, team membership and subscription information.
  • Customer, lead, quote, job, calendar, invoice, expense and payment-status records entered by users.
  • Job evidence such as notes, photographs, completion checks and client signatures.
  • Support and feedback messages, including basic device and browser information when supplied.
  • Security, audit and service logs needed to operate and protect the service.

Card details are collected and processed by Stripe. 411 does not store complete card numbers or card security codes.

Why we use it

We use personal information to provide and secure the service, manage accounts and subscriptions, support users, improve reliability, prevent misuse, and comply with legal and accounting obligations.

Our lawful bases are usually performance of our contract, our legitimate interests in running and improving a secure business service, compliance with legal obligations, and consent where the law requires it.

Business customer responsibilities

A business using 411 controls the customer and workforce information it enters. That business is responsible for having a lawful reason to collect it, keeping it accurate, limiting access appropriately, and giving any notices required to its customers and staff.

Who receives information

We use trusted suppliers to host and operate 411, authenticate users, deliver email, provide payment services and support the product. These include Base44 for the application platform and Stripe for subscription and payment processing. We share only what is needed for the relevant service.

We do not sell personal information. We may disclose information where required by law, to protect rights or security, or during a properly managed business reorganisation.

International processing and security

Some suppliers may process information outside the United Kingdom. Where this happens, we rely on recognised safeguards such as UK adequacy regulations or approved contractual protections. We use role-based access, workspace separation and appropriate technical and organisational controls, but no online service can promise absolute security.

How long we keep information

We keep account and operational records while an account is active and for a reasonable period afterwards. Financial and transaction records may be retained for up to six years where needed for tax, accounting or legal purposes. Other information is deleted or anonymised when it is no longer reasonably required, subject to backups and legal holds.

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection, and may withdraw consent where processing relies on consent. Contact support@kaced-digital.co.uk. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.

Children and changes

411 is a business service and is not intended for children. We may update this notice as the service or legal requirements change. Material changes will be communicated in an appropriate way.
